Edible Photo Booth Terms & Conditions

Cookie Contract

Please  read carefully before placing your order. All orders are subject to the below terms and conditions. Exceptions to these conditions are at our discretion.

Booking & Payment

A 50% deposit is required within seven (7) days of booking in order to secure your event date. If the deposit is not received within that timeframe, the date may be released.

The remaining balance is due fourteen (14) days prior to the event date.

Payments are accepted by debit or credit card through the invoice link provided. Additional payment methods may be approved at our discretion.

Deposits are fully refundable if the booking is canceled more than thirty (30) days prior to the event date. Deposits are non-refundable if the booking is canceled within thirty (30) days of the event.

Event Service Details

Southern Belle Bakery offers three Edible Photo Booth packages:

Classic Package

  • 1 hour of service

  • 50 pre-iced sugar cookies

  • Choice of five curated photo backdrops

  • Photo props included

  • Full setup and teardown

Premier Package

  • 2 hours of service

  • 100 pre-iced sugar cookies

  • Choice of five curated photo backdrops

  • Photo props included

  • Full setup and teardown

Elite Package

  • 3 hours of service

  • 150 pre-iced sugar cookies

  • Choice of five backdrops or a custom backdrop

  • Photo props included

  • Full setup and teardown

  • One included upgrade (All digital photos, photo text/branding, or 10 extra cookies)

Additional hours of service may be booked for $60 per hour.

Setup & Space

A minimum of one hour is required prior to the event for setup, and approximately 30 minutes after the event for breakdown.

Clients must provide a minimum space of 8 ft x 10 ft, with 10 ft x 10 ft preferred to allow adequate room for the photo booth, printer, and guest line.

Southern Belle Bakery provides all necessary tables and linens.

At least one standard power outlet must be available within reach of the booth setup area. A surge protector and extension cord will be provided.

Wi-Fi is not required but is preferred when available.

Outdoor setups may be approved depending on venue logistics and weather conditions.

Photo Booth Operation & Cookie Printing

Photos are taken and printed by the booth attendant in front of the selected photo backdrop.

Guests may not handle equipment, enter the attendant workspace, or operate the printer or camera.

Each package includes a specific number of cookies:

  • Classic Package – 50 cookies

  • Premier Package – 100 cookies

  • Elite Package – 150 cookies

Once the included number of cookies has been printed, additional cookies cannot be printed unless additional cookies were pre-purchased or added during the event if available.

Additional cookies may be purchased:

  • 10 cookies – $45

  • 25 cookies – $100

  • 50 cookies – $185

If print times run longer than expected, Southern Belle Bakery will remain after the scheduled service time to complete printing the full number of cookies included in the purchased package.

Digital Photos

Digital photo packages may be added for $30.

This package includes all photos taken at the event, not only those selected for printing.

Photos will be delivered via email in a ZIP file within three (3) days after the event.

Southern Belle Bakery reserves the right to photograph the booth setup for marketing purposes. Photos of guests will never be posted without permission.

Change Cutoff

Decisions are tough! But we’re here to help. Order changes can be made until 30 days prior to the event. After that, all change requests will be under consideration and a small fee may apply.

Food & Allergen Disclaimer

All cookies are produced in a kitchen that may contain milk, gluten, nuts, soy, and other common allergens.

Southern Belle Bakery is not an allergy-free bakery.

Each cookie will be packaged in a clear plastic box after printing. As required by state law, each box will contain:

  • A bakery label

  • An ingredient list

  • An allergen notice

Custom packaging options are available for $1 per cookie.

Southern Belle Bakery is not responsible for cookies once they have been received by guests.

Attendants

All Edible Photo Booth bookings include one professional booth attendant.

Some events may require an additional attendant depending on guest count and service logistics. Additional attendants are billed at $45 per hour.

Travel

Travel within 35 miles one way (70 miles round trip) from Southern Belle Bakery is included.

Events located outside this range will incur a travel fee of $20 plus $0.75 per mile beyond the included distance.

Equipment & Damage

The Edible Photo Booth includes professional equipment including:

  • Camera equipment

  • Edible photo printer

  • Photo booth props

  • Backdrops and decor

Clients are responsible for any damage to equipment caused by guest negligence, misuse, or belligerent behavior.

Guests are not permitted to handle booth equipment or enter the attendant area.

Cancellation & Rescheduling

Cancellations made more than 30 days prior to the event will receive a full refund of the deposit.

Cancellations made within 30 days of the event date will result in the deposit being forfeited.

If an event must be rescheduled due to illness, weather, or other circumstances, rescheduling will be based on availability and at the discretion of Southern Belle Bakery.

In the unlikely event that Southern Belle Bakery must cancel a booking, a full refund will be issued and every reasonable effort will be made to help rectify the situation.

Force Majeure

Southern Belle Bakery is not responsible for event cancellations caused by circumstances outside of our control, including but not limited to:

  • Severe weather

  • Venue closure

  • Government restrictions

  • Emergencies

If an event is canceled due to one of these circumstances within 30 days of the event date, clients may receive either:

  • A full refund, or

  • The option to reschedule based on availability

Outdoor Events

Outdoor events may be approved depending on venue logistics.

However, the Edible Photo Booth cannot operate outdoors during rain or snow, and adequate protection from weather and wind must be provided.

Cottage Food Laws

This order has been made in a home kitchen registered with the New York State Department of Agriculture. Our kitchen is not nut free, egg free, dairy free or gluten free. Boring disclaimer, but we have to say it per the law. *tips cowboy hat* *straightens Sheriff pin*

Edible Printer & Equipment Protection

The Edible Photo Booth utilizes specialized edible printing equipment, including a professional food-safe printer, camera, computer, and related booth components. This equipment is delicate and may only be operated by the Southern Belle Bakery attendant.

Guests are not permitted to touch, handle, adjust, or operate any equipment, including the printer, camera, computer, props storage, or the attendant workspace. For safety and proper operation, the attendant area must remain clear and accessible only to booth staff.

Drinks, food, and excessive moisture must be kept away from the printer and booth equipment at all times.

Southern Belle Bakery is not responsible for interruptions in service caused by guest interference, accidental damage, environmental conditions, or venue limitations. If equipment is damaged, tampered with, or becomes unsafe to operate due to guest behavior, Southern Belle Bakery reserves the right to pause or discontinue booth operation for the remainder of the event.

Clients may be held responsible for repair or replacement costs resulting from damage caused by guests, venue staff, or other third parties at the event.

Public Event Cookie Classes

Please  read carefully before booking your event. All bookings are subject to the below terms and conditions. Exceptions to these conditions are at our discretion.

Payment Due

Payment is due at the time of booking. Tickets will be emailed to you within a couple minutes of booking your seat(s). We will not hold seats without payment

Cancellation

Life happens! Let us know 7 days in advance and we can refund your money. Need to cancel within 7 days of the class? We can offer you a credit to a future class! No refunds will be issued within 7 days of the class date.

Refunds

A full refund will be issued if you cancel your seat within 7 days of the event. If you cancel at least one hour before the class, a credit will be issued for a future class. Class credits must be used within one calendar year.

No Shows

If you do not show up for the event and you do not reach out prior to the event start time to cancel your seat, no refunds and no credits will be issued. If you’re running late, still come!

Transferring Tickets

Can't make it and want to transfer your seat to someone else? No problem! Just let us know by emailing the name and contact information of the person you’d like to transfer your ticket to to brittany@thesouthernbellebakery.com

Age Limits

We ask that ages start from 8+ and that kids are accompanied by an adult. Everyone sitting at the table needs a ticket to the event. If you do not purchase a ticket you will not have a seat and will be not be able to sit in on the class. Each person will have their own supplies to use during class! No need to share or cross contaminate. We’ll also provide to-go boxes to take your creations home to dry.

Class Photos

Photos will be taken throughout the duration of the class and will be posted on social media and my webpage. If you do not wish to have your picture posted, please let me know prior to the class start time.

Covid Care

We know that you can’t control when you have come in contact with a person who has Covid, and we want to work with you. A full refund will be offered if you receive a positive Covid test within 3 days of the class date. Cancellations within three days of the class will receive a credit for a future class.

Add-On Kits

If you purchased both a class ticket and a take-home kit and email prior to the 7 day refund policy, we'll be happy to offer you either a full refund or a class credit for both your class ticket and DIY kit. If it's after the 7-day cut-off, but 3 days prior to class, we can offer you a class credit and DIY Kit credit. If it's beyond the three days, you may request a class credit; however, you'll need to send a family or friend to pick up your DIY kit from class on your class date. We can't offer refunds on already assembled DIY kits.

Class Credits

If you receive a credit towards a future class, it must be used within one calendar year of the issuance date. Credits will expire after one calendar year of being issued.

Private Event Cookie Classes

Please  read carefully before booking your event. All bookings are subject to the below terms and conditions. Exceptions to these conditions are at our discretion.

Payment Due

50% of payment is due at the time of booking. At the time of booking a payment date will be scheduled for the remaining balance and will be due two weeks before the event.

Cancellation

Life happens! Let us know 14 days in advance and we can refund your money. We do not issue refunds within 14 days of the event. The balance collected can be applied toward a future order or event, less the costs of any supplies already purchased.

Refunds

A full refund will be issued if you cancel within 14 days of the event. Balances collected prior to cancellation cut-off will not be refunded. The costs of any supplies purchased will be deducted and the remaining balance will be issued in a credit for a future event or order.

Age Limits

Adult classes are geared toward those over the age of 12. Kid's classes are tailored for a younger audience, generally under 12. However, there is no age requirement for booking either class type. The adult class will contain more complex designs and will last one hour longer than the kid's class.

Class Photos

Covid Care

If you need to cancel your event due to Covid-19 please reach out to me as soon as possible at brittany@thesouthernbellebakery.com

Class Credits
